Candle Cave booking and participation policy
We want every Candle Cave visit to be a relaxed, creative experience. These terms explain how bookings, changes and safe participation work. Please read them before paying.
Candle Cave workshops are provided by Bear Burners Ltd., Station Approach, East Boldon NE36 0AB, United Kingdom. For booking changes or questions, contact Bear Burners with your order number.
Booking and your visit
Your place is reserved once payment has been accepted and your booking confirmed. Check the date, start time, price and inclusions on your chosen event listing before booking. One ticket admits one participant. Workshop tickets are not shipped and do not attract a delivery charge; your booking confirmation is sent electronically.
Workshops are held at Rebels, next door to Bear Burners. Use the Bear Burners address and car park. You take your candle home on the day and must follow the care and first-use instructions provided. Please check the event listing for refreshments and tell us about dietary requirements in advance; we cannot promise an allergen-free environment.
Age and supervision
Participants must be aged 12 or over. Every participant aged 12–17 must attend with a participating, paying adult aged 18 or over, who remains throughout the session. One adult may accompany up to five participants aged 12–17. Children under 12 cannot participate. Please ensure your booking includes the required adult tickets.
The booking adult must share these terms and the safety information with their group and provide appropriate supervision. This does not remove our responsibility to deliver the workshop with reasonable care and skill.
Changing your date
If you contact us at least seven full days (168 hours) before the scheduled start, you may move your booking to another available workshop date. Rescheduling is subject to availability and our written confirmation. Any price difference will be explained and agreed before the change is made.
With less than seven days’ notice, we do not offer rescheduling as a standard entitlement. Please still contact us promptly if you cannot attend.
Sending someone in your place
You may give your place to a friend or another suitable attendee. Let us know their name before the workshop starts. Replacement attendees must meet the age and supervision requirements and agree to these terms. There is no name-change fee.
Cancellations and missed sessions
These are leisure activities booked for a specific date, so the usual statutory 14-day cooling-off right does not apply. Bookings are not refundable simply because you change your mind, subject to the cancellation-loss limits and your statutory rights below.
If you cancel or do not attend, we may retain an amount reflecting our reasonable, genuine net loss caused by the cancellation, up to the ticket price. This can include unrecoverable preparation costs and loss from a place we cannot refill. We will take reasonable steps to reduce our loss and account for costs saved or income from reselling your place. We will not recover the same loss twice, and will refund any amount above our net loss. You can request an explanation of any cancellation charge.
Arrival and safe participation
Please arrive in time for the start and safety briefing. If you arrive more than 15 minutes late, we may be unable to admit you because you have missed essential instructions or there is insufficient time to participate safely. We do not normally offer a replacement session in these circumstances; any amount retained is subject to the cancellation-loss limits above.
Activities involve hot wax, fragrance oils, equipment and, where used, open flames. Follow the workshop leader’s instructions, handle materials only as directed, wear closed-toe shoes, secure loose clothing and tie back long hair. Tell the team immediately about spills, injuries or any difficulty participating.
We may stop an activity or refuse or end participation where reasonably necessary to address unsafe conduct, intoxication, abuse or serious disruption. Where this results from your breach of these terms, we may retain reasonable losses attributable to that breach, subject to the limits above. We will consider reasonable adjustments before excluding someone because of a disability-related need.
Health, access and support
Please contact us before booking, or as soon as a need arises, about allergies, fragrance sensitivities, access requirements or support needed to participate safely. Share only information relevant to making suitable arrangements. We will discuss reasonable adjustments with you and will not charge for adjustments we are legally required to make.
Let us know if you need a support worker or companion so we can agree suitable arrangements. A person providing essential disability-related support is not automatically required to buy a participant ticket; arrangements depend on their role and whether they will also take part in candle-making.
Damage and belongings
You are responsible for reasonable, evidenced repair or replacement costs for damage caused by your deliberate actions, negligence or misuse. This excludes ordinary wear, existing damage and damage caused by us. Please take care of personal belongings; our responsibility for loss or damage depends on the circumstances and applicable law.
If we change or cancel a workshop
We may make minor changes that do not materially alter the experience. If we cancel, move the date or make a significant change, we will contact you as soon as possible and offer your choice of an available alternative or a full refund for the affected booking. This also applies if an event beyond our reasonable control prevents us providing the workshop. It does not affect any additional rights you have under consumer law.
Photos and personal information
We will ask permission before using identifiable photos or videos of you for marketing. Saying no will not affect your workshop experience. For under-18s, we will also obtain permission from their parent or guardian. Tell the team if you do not wish to appear in photos. Booking information is handled under our privacy policy; marketing messages require the appropriate permission.
Your rights and these terms
Nothing here excludes or limits liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any liability or statutory consumer right that cannot lawfully be excluded or limited. Taking part does not mean waiving your right to make a legitimate claim.
These terms apply to new bookings made after they are published and brought to your attention before booking. Later changes do not retrospectively alter an existing booking without agreement. If any term is unenforceable, the remaining terms continue where possible. English law applies, while any mandatory consumer protections and rights to use courts where you live remain unaffected.
